Minimum Qualifications Candidates must be reachable on the appropriate eligible list, or eligible for 70.1 or 52.6 transfer. To be eligible for transfer to this position you must have one year of permanent or 55b/c service in a Grade 12 position or higher in a title deemed appropriate for transfer by the Department of Civil Service.
Duties Description The Division of Personnel is responsible for the administration of various human resources activities including staffing, onboarding, benefits, payroll, staff development, performance evaluations, and disciplinary and termination issues. Typical job duties of Office Assistant 3 (Human Resources) in Personnel include the following:
• Assist the Human Resource Specialists in the Staffing Unit with eligible list management and various recruitment efforts
• Oversee the canvassing, distribution, and maintenance of eligible lists
• Supervise clerical employees, which includes establishing work performance standards, providing necessary training on office procedures, assigning work based on office needs, and monitoring work performance
• Maintain and manage the maintenance of a variety of office records, such as the examination files, list maintenance files and personal history files.
• Answer general questions by phone, e-mail or in person regarding canvasses, eligible lists, appointments, etc.
• Monitor list maintenance and recruitment inboxes and process information accordingly
• File documents (lists, postings, canvass responses, etc.) and purge folders as necessary
• Generate Clearance Control Numbers for all titles used by DMV (CRIF)
• Announce / Monitor postings
• Conduct typing tests as needed
• Assist with scheduling oral proficiency exams through the Language Line and proctoring language exams as needed
• Assist Fingerprinting Unit with scheduling fingerprints as needed
• Perform other recruitment, payroll, benefits, and HR duties as assigned including but not limited to assisting with fingerprinting, first day paperwork, preparing various reports and spreadsheets, and updating systems
An Office Assistant 3 (Human Resources) in Personnel should possess:
• Working knowledge of various computer applications such as Microsoft Office and LATS
• Ability to organize, assign, coordinate, and review the work of subordinate employees
• Ability to understand and carry out complex oral and written instructions
• Ability to prepare correspondence and reports
• Ability to maintain clear and concise records
• Ability to establish and maintain effective working relationships with others
Additional Comments Hours: Monday - Friday between the hours of 8:00 AM – 4:00 PM; 8:30 AM – 4:30 PM; OR 9:00 AM – 5:00 PM. Schedule will be agreed upon at the start of employment.
