Minimum Qualifications Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.*
*Note: Appointment may be made at either the trainee 1 or trainee 2. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $36,964 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $41, 255) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. Trainees having completed the mandatory coursework prior to appointment may be eligible for appointment to the Trainee 2 level with appropriate approvals. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11."
Preferred Qualifications:
Strong verbal communications skills. Ability to handle multiple tasks. Good organizational skills and the ability to work independently. Experience with Excel, Outlook, Word, tracking as well as scheduling of meetings.
Duties Description This position is support staff for the Admissions Dept. The duties include but not limited to:
1. Prepare and type Daily Census, Resident List and distribute to appropriate departments on a daily basis.
2. Maintain Resident records, Census, and PRI Logs.
3. Telephone hospitals daily to verify residents’ status (admissions, bed holds, expirations, transfers) and process appropriate forms for distribution.
4. Complete data entries of demographics and coding of resident’s diagnosis in Reliable Health System (RHS). Revise data as appropriate.
5. Assist Admissions Coordinator with pre-admission process including tours, assisting callers (Discharge planners, families, staff, etc.) in a helpful and professional manner. Demonstrates the ability to work well with all staff.
6. Process all new admissions and distributes paperwork to appropriate staff and units.
7. Provide essential data regarding insurance coverage for special treatment for Consulting specialists, i.e. Podiatry, Ophthalmologists, Dentist, Laboratories, and Hospitals as requested.
8. Prepares monthly Board of Visitors report for Administration and monthly Statistical Report for Director of Social Work. Generates statistical report, demographics, and lists requested by other departments. Ensures accuracy.
9. Conduct admission process in the absence of Admission Coordinator.
10. All other duties as assigned by the Director of the Admissions Department.
Additional Comments The selected candidate will need to take and pass a keyboarding performance test to qualify for appointment.
Please note that if the eligible list is exhausted a provisional appointment may be considered, however the selectee must take and pass the next scheduled Civil Service Exam with a reachable score in order to continue their appointment.
This position is eligible for a downstate adjustment of $3026.00
