Minimum Qualifications • In title Office Assistant 3 (Calculations), or
• Eligible for 70.1 transfer by way of current permanent competitive status in a title deemed comparable by the department of Civil Service (must also be within 2 salary grades of Grade 14).


Duties Description Direct supervision and managing subordinate staff in the Purchasing Unit to include:
• Price out supplies to be ordered from different vendors (preferred, contract, online, etc.)
• Order supplies for every department, units & community homes within the Brooklyn DDSO, including bulk orders.
• Maintain consistent & accurate orders of Incontinence supplies for individuals in our group homes.
• Place online orders, phone orders and/or scan/email orders to vendors.
• Processing PO requisitions and PO Change Notices in the Statewide Financial System (SFS)
• Assist with maintaining the Business Office Shared Mailbox and File Share Spreadsheet
• Overseeing the reconciling of p-card transactions for purchases made in the Statewide Financial System (SFS)
• Overseeing the maintaining of records for Purchasing Unit

Direct supervision and managing subordinate staff in the Cash Unit to include:
• Maintaining a daily log and control of all checks.
• Making all cash & check bank deposits into Individuals accounts in Acumatica.
• Running a report of bank deposits to send to Acumatica.
• Processing Petty Cash requests from the group homes when necessary, ensures receipts are turned in timely, and accounts reconciled.
• Processing Petty Cash requests for Salary Advances.
• Preparing petty cash vouchers to send to OGS for payment.
• Receiving and printing of checks from Acumatica
• Requesting ROAs for state payments for funeral expenses once affidavits have been complete by RSFO.
• Requesting ROAs for state payments for cable bills
• Maintaining records for Cash Unit
• Assist with retrieving and entering data into Statewide Financial System (SFS) and other web-based software systems as required.
