Duties Description The incumbent of this position will be located in the Communications Unit and will be responsible for:

• The day-to-day management of EBD's four websites (NYSHIP Online, HBA Online, Inside EBD and the OCFS call center resource site) in collaboration with unit and EBD staff, with support from advertising agency personnel. Using knowledge of the structure of the sites, the incumbent will ensure that information is posted correctly and conduct periodic site audits to repair broken links and identify stale content that needs updating and/or archiving. Associated work also may include working with EBD staff to draft content using provided resources, with guidance from unit supervision.

• Daily monitoring of site mailboxes to ensure that inquiries are routed to EBD staff for response appropriately and timely. Primary responsibility for managing EBD distribution lists to issue timely bulletins to the NY, PA and PE listservs. Manages EBD staff access to the Inside EBD website and serves as a resource to the Division regarding site content and management.

• Serving as the primary manager of the publication fulfillment system, which includes working with NYSHIP fulfillment center staff to ensure orders are filled timely and troubleshooting any issues that arise. Ensures that HBA forms accurately reflect current inventory and materials are reprinted, archived and destroyed appropriately.

• Using internal resources to develop print quantities for all publications produced by the unit. Running NYBEAS queries to produce address files that are used to mail publications to enrollee populations. Assisting unit staff in checking mail file queries and project test samples for accuracy using knowledge of benefit program structure and publication audience.

• Serving as a project manager for NYSHIP publications or other related projects such as videos as necessary, with the support of unit staff and manager. Reviewing draft publications and providing comments/suggestions to unit project managers, consistent with requested deadlines.

• Acting as liaison with other units in EBD to help gather information for unit publications and projects.

• Serving as the unit’s representative on the Division’s training team to prepare and present various training opportunities to staff associated with the unit’s work.
