Minimum Qualifications Administrative Assistant 1:

Must be in title or on the Civil Service eligible list for this location or be eligible for transfer under Section 70.1 in a designated title determined by the New York State Department of Civil Service.

OR

Candidates must have one year of permanent competitive or 55b/c service in a title SG-09 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all required mandatory and elective coursework**.

Administrative Assistant Trainee 1:

Transfer: Candidates must have one year of permanent competitive or 55b/c service in a title SG-06 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law.**

Administrative Assistant Trainee 2:

Transfer: Candidates must have one year of permanent competitive or 55b/c service in a title SG-08 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all required mandatory coursework**.

**Incumbents will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to Administrative Assistant 1, G-11.

Candidates that are not currently incumbering or have not previously held a keyboard or secretarial title, will have to take and pass a typing proficiency exam to qualify for transfer.

Duties Description The Administrative Assistant 1 will provide administrative support in the Human Resources office. The candidate will perform tasks that fall into four broad categories: communication, coordination, organization and records maintenance. The Administrative Assistant 1 will establish office procedures, design office filing systems, implement policies and procedures, maintain efficient work flow, resolve day-to-day operational problems, respond to phone calls, organize and follow up on projects, and coordinate information flow by acting as liaison among key executives, staff, other employees and the public.
Tasks and responsibilities include but are not limited to providing support to the HR office and Directors, opening, reviewing, sorting and distributing mail in accordance with staff assignments; reviewing incoming correspondence and reports to determine their significance; gathering data relevant to complex or unusual inquiries in order to provide a basis for a reply or a decision and/or draft the reply; answering the telephone and responding to questions concerning policy or procedures; monitoring and tracking status of program activities; designing and maintaining files; scheduling meetings and maintaining calendars; and preparing reports.

Position may be eligible for participation in OPWDD Telecommuting program, with supervisory approval for up to 2 days per week.
