Minimum Qualifications Eligible for a lateral transfer or eligible for a 70.1 transfer by having one year of permanent competitive service in an appropriate title; OR
Reachable on the appropriate eligible list in Albany.

Promotional/Provisional Qualifications: One year of permanent competitive service as an Administrative Assistant 1, Administrative Assistant 1 (Spanish Language), Examination Composition Assistant, Office Assistant 2 (Keyboarding), Office Assistant 2 Keyboarding (Spanish Language), Office Assistant 2, or Law Department Document Specialist.

Duties Description Working in the Bureau of Human Resources (BHR) in the Division of Administrative Services, duties include but are not limited to:

• Provide administrative support to an Associate Director Human Resources 2 and Human Resources Specialists within BHR;
• Assist the Recruitment Unit with various aspects of OTDA's job postings, from start to finish;
• Coordinate all back-end functions associated with the delivery of OTDA's orientation program for new hires to the agency.
• Maintain and update OTDA's orientation document;
• Compile biweekly and tickler reports and send out report reminders;
• Coordinate appropriate notification of pending employee retirements;
• Compile pre-retirement notification memoranda;
• Handle Personal History File (PHF) requests;
• Administer typing proficiency tests;
• Greet visitors and field incoming telephone calls to BHR;
• Review work done by others to check for correct spelling and proper grammar, ensure that office format policies are followed, and provide recommendations for revisions; and
• Mail various items including letters and reports, prepare packages and arranges for them to be shipped.

Additional Comments You must be a current New York State employee to apply for this position. A full-time, contingent-permanent, or provisional appointment will be made. If certified by Civil Service, mandatory reemployment list candidates must be considered first for appointment to this title. Work hours for this position are 9:00 a.m. to 5:00 p.m.

If a provisional appointment is made, the appointee will be required to take the next holding of the Administrative Assistant 2 examination and be immediately eligible for appointment from the eligible list in order to maintain continued employment in this position.
