Minimum Qualifications Reachable on the Department of Civil Service Eligible list for Administrative Assistant 1 (formerly Secretary 1), OR permanent or contingent permanent status as an Administrative Assistant 1 OR eligible to transfer into traineeship.

Candidates must demonstrate adequate keyboarding skills by prior service in a keyboarding title OR successful completion of a Keyboard performance test.

*Successful completion of a two-year traineeship leads to appointment as an Administrative Assistant 1, SG-11.


PREFERRED QUALIFICATIONS:
• Knowledge of Microsoft Word and Excel.
• Strong clerical and data entry skills.
• Basic knowledge of legal terminology.
• Ability to perform job functions with limited supervision.

Duties Description This position is in the Litigation Bureau, located in NYC.

Duties include but are not limited to:

• Respond to telephone inquiries from the public and other state agencies. Refer inquiries as necessary and maintain records of those communications.
• Monitor the Bureau’s shared email boxes for incoming correspondence or legal papers and distribute appropriately.
• Input data into NYMatters (case management database), conduct searches in NYMatters for information necessary to ensure timely and appropriate distribution of incoming correspondence or legal papers, and scan and transfer case-related documents into to NYMatters.
• Review unaddressed incoming mail/correspondence and ensure the transmission of such documents to the appropriate bureau or designated person for handling.
• Schedule meetings, appointments, and interviews both in office and via different video conferencing platforms.
• Assist with drafting, updating, maintaining, and conducting and compiling research for the Bureau's complex litigation reports, settlement reports, trial calendars and various other reports.
• Access publicly available court records to obtain case status information and documents.
• Assist with the drafting and processing or purchase requests, expert services requests and travel approval requests, including reviewing forms for completeness and accuracy. Maintain all associated records.
• Assist the Bureau Chief by making travel arrangements, preparing and processing travel vouchers etc. Maintain all associated records.
• Responsible for the procurement and purchasing of supplies, as well as maintenance of the Bureau’s Supply Room and tracking Supply Room inventory.
• Oversee specialized library clerical activities in support of the Bureau’s Law Library such as organizing and maintaining the library collection, assisting Bureau staff with obtaining Westlaw access, and directing the acquisition, distribution, and updating of the Bureau’s library books.
• Prepare Tables of Contents and Tables of Authorities for legal memoranda.
• Assist with copying, scanning and redaction of legal papers.
• Perform other duties as assigned.
