Duties Description This position is in our Public Integrity Bureau in our NYC office.

The incumbent of this position will work independently with little direction or review of work, maintain strict confidentiality and professionalism with highly sensitive case material, and must have the ability to use proper judgment in prioritizing work to meet deadlines. With a knowledge of Bureau and OAG protocols, procedures and resources, the incumbent must clearly and effectively communicate with OAG staff, members of the public, and various outside agencies. Knowledge of New York State criminal processes preferred. Specific duties include, but are not limited to, the following:

•Provide administrative and secretarial support to the entire statewide Public Integrity Bureau and Real Estate Enforcement Unit as needed. This includes preparation of confidential materials and knowledge of Bureau and OAG protocols, procedures and resources. Handle calls of a confidential and sensitive nature.
•Respond to requests for information by phone and email; take messages and transfer calls to appropriate individuals and bureaus. Document all contact in the OAG case management system.
•Prepare/forward travel vouchers, schedule meetings, reserve conference rooms.
•Assist with recruitment efforts, and onboarding tasks.
•Manage the filing system; coordinate transfers and archiving. Process paperwork for paying outside vendors.
•Copy and scan records. Responsible for archiving records & retrieving archived records. Order and distribute supplies.
•Serve as primary Bureau contact to the Division of Administration including Human Resources for Bureau personnel matters, and Constituent Services. Provide administrative support for supervisory and staff attorneys including scheduling court reporters, filing documents and scheduling meetings.
•Compile information for filings with Department of Criminal Justice
•Manage paper and electronic filing systems. Use various information technology applications such as email, database, spreadsheets and word processing applications.
•Operate office equipment such as printers, scanners, and copiers; arrange for repairs when equipment malfunctions.
•Maintain scheduling and event calendars. Schedule and confirm appointments for job applicants, other agencies, or supervisors. Coordinate conferences, meetings, or special events. Make travel arrangements for staff and witnesses. Create and/or submit travel expense reports for staff.
•Mail various items including letters, reports, and prepare packages and arrange for them to be shipped.
•Provide training and orientation to new staff.
•Manage and respond to FOIL requests. Coordinate with supervisory and staff attorneys concerning material to be provided pursuant to the FOIL request. Work with OAG FOIL internal staff in responding to FOIL requests.
•Perform other duties as assigned.
