Duties Description This position is within the Sex Offender Management Bureau (SOMB) located in Buffalo.

DUTIES:
The Administrative Assistant 1 provides day-to-day administrative support to four Attorneys and one Investigator in the Sex Offender Management Bureau (SOMB) Buffalo office. SOMB was created by the Attorney General to represent the State of New York in all Article 10 litigation which establishes the procedural provisions for the civil management of sex offenders. SOMB works in concert with the Article 10 partners to develop statewide protocols to further the goals of Article 10 in ensuring public safety. Duties include but not limited to:

• Send email updates to SOMB Agency Contact Group, regarding scheduled court appearances, pertinent court orders and documents, occurrences at court appearances, and other important case updates.
• Work with SOMB investigator, to create and maintain systems for Article 10 processes within Buffalo Office.
• Create electronic and physical case files when a Notice of Anticipated Release is received regarding an inmate who may later be referred for Article 10 civil management.
• Save documents to the database (LAN and H/drives); update NY Matters – case management tracking database.
• Distribute incoming documents received via email; save in appropriate electronic directories; print for physical file.
• Perform NY Matters updates: important hearings, conferences, trials; receipt, filing, and service of documents as well as pertinent information contained within documents; transport of Respondents to other agencies; SIST violations.
• Assist with document preparation for filing an Article 10 Order to Show Cause & Petition.
• Track receipt of Affidavits of Service – for service of documents.
• Prepare cover letters for forwarding discovery on cases.
• Prepare emails for requesting discovery on cases; maintain checklist of all discovery requested and received; schedule follow-up emails to be sent in the event requested discovery is not received; send follow-up emails regarding previously requested (but not yet received) discovery.
• Scan voluminous records, and other documents associated with the Article 10 cases.
• Bates-stamp records received; save in e-directories of attorney, investigator, and LAN; enter in NYMatters and on discovery checklist.
• Prepare documents and/or files for non-Article 10 cases that Buffalo SOMB attorneys handle.
• Manage the ordering of supplies and submission of purchase requests for Buffalo SOMB Office.
• Prepare and forward invoices and bills for payment, in reference to transcripts or other legal documents.
• Prepare/forward Expert Requests for SOMB cases.
• Handle travel arrangements and travel vouchers for SOMB attorneys.
• Update the eJustice database, within the Division of Criminal Justice Services (DCJS), regarding Article 10 cases.
• Manage filing system, for both physical files and electronic files, for Respondents who do not get referred to Article 10.
• Maintain office machines as required.
• Perform other duties as assigned.
