Minimum Qualifications Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.*
*Note: Appointment may be made at either the trainee 1 or trainee 2. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $34,831 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $38, 875) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. Trainees having completed the mandatory coursework prior to appointment may be eligible for appointment to the Trainee 2 level with appropriate approvals. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

Preferred Qualifications: Experience with Microsoft Office Programs (Word, PowerPoint, Access, and Excel), Sharepoint, ASPEN and Adobe, excellent written and verbal communication and interpersonal skills; ability to work independently and handle multiple priorities; good organizational skills, knowledge of state travel procedures and experience scheduling meetings and general office.

Duties Description The incumbent will function as the chief support for the Division Director and staff. Duties include scheduling meetings and conference calls; making all travel arrangements and maintaining the Division Director’s calendar; maintain various tracking and database systems including tracking and follow-up of priority assignments and a logging, tracking and routing system to meet control needs for incoming mail including correspondence; type and proofread correspondence; organize and review incoming mail including correspondence prepared for the Division Director’s signature or approval; performing general office duties such as faxing and photocopying; maintain filing system; respond to telephone requests for information or copies of documents and reports; and supervision of clerical staff. The incumbent will serve as the primary coordinator for coverage of the Division’s phone lines.

Additional Comments The selected candidate will need to take and pass a keyboarding performance test to qualify for appointment.
