Minimum Qualifications This is a transfer opportunity for current New York State employees only who are eligible to transfer via Section 70.1 of the Civil Service Law - Candidates must have permanent status in a title approved for transfer by Civil Service within two salary grades of the Grade 6 level.

Candidates who have not previously served in a keyboarding title must demonstrate adequate keyboarding skills (i.e. the ability to type 30 words per minute with at least 96% accuracy) by passing the Keyboard Specialist performance test.

Duties Description This is an 18-month Traineeship leading to a SG 9.

This position is in the Utica Regional office.

Reporting to an Office Manager, the incumbent of the requested LDDS position will work cooperatively with support staff in other bureaus and have the ability to use proper judgment in prioritizing work to meet deadlines. Specific duties include, but are not limited to, the following:

• Learn and apply legal concepts and follow procedures related to the production of legal documents, working independently while also regularly conferring with and following attorney instructions related to document contents and procedural steps.
• Produce neat and timely legal work, including pleadings, correspondence, Orders, Decisions, memoranda,
opinions, affidavits/affirmations, jury charges, motions, subpoenas, deposition summaries, and other legal
documents.
• Receive incoming telephone calls, transfer calls, and take messages accordingly.
• Receive documents, letters, emails, and faxes, and distribute accordingly.
• Proofread legal documents for spelling, grammar, and punctuation.
• Scan documents for attorneys.
• Maintain office filing systems and assist attorneys with case file organization and management.
• Assist with data-keeping and the opening and closing of files, following office procedures.
• Create Excel spreadsheets and keep track of entries.
• Learn and become proficient with the NYMatters database to assist in retrieving information and generating
reports as necessary.
• Learn and become proficient with the Paper Archive Management database to assist with the archiving and
retrieval of records.
• Appropriately responds to simple inquiries from the public, whether by phone, email, or in-person.
• Perform other duties and ad hoc tasks as necessary or assigned.

Additional Comments Upon successful completion of 12 months as Law Dept Document Specialist Trainee 1, you will automatically advance to Law Dept Document Specialist Trainee 2. (SG 8)

Upon successful completion of 6 months as Law Dept Document Specialist Trainee 2, you will automatically advance to Law Dept Document Specialist. (SG 9)
