Minimum Qualifications This is a transfer opportunity for current State Employees. The position is an 18-month traineeship, starting as a CSEA SG-6 and leading to a CSEA SG-9. To be transfer eligible you must have current permanent or contingent permanent status as an Office Assistant 1, LDDS Trainee, or LDDS.

Candidates must demonstrate adequate keyboarding skills by prior service in a keyboarding title or successful completion of a keyboarding performance test (30 WPM WITH 96% ACCURACY).

Duties Description This position is in the Poughkeepsie Regional Office.

Reporting to an Office Manager, the incumbent of the requested LDDS position will work cooperatively with support staff in other bureaus and have the ability to use proper judgment in prioritizing work to meet deadlines. Specific duties include, but are not limited to, the following:

• Receive incoming telephone calls, transfer calls, and take messages accordingly.

• Receive documents, letters, emails, and faxes, and distribute accordingly.

• Proofread legal documents for spelling, grammar, and punctuation.

• Scan documents for attorneys.

• Open and organize files.

• Create Excel spreadsheets and keep track of entries.

• Learn and become proficient with the NYMatters database to assist in retrieving information and generating reports as necessary.

• Learn and become proficient with the Paper Archive Management database to assist with the archiving and retrieval of records.

• Assist with the completion of travel-related requests and paperwork on behalf of attorneys.

• Perform other duties and ad hoc tasks as necessary or assigned.
