Minimum Qualifications You must hold or have held the title of Office Assistant 1 (Keyboarding) or be reachable on the full-time NYS Civil Service list and respond to canvass letter that will be emailed to people on the eligible list. You may also qualify if you are permanent in the following title: Office Assistant 1. You must also pass the Civil Service typing test, which can be administered in the Human Resources Office.
Duties Description Summary:
Serve as the primary receptionist for the SUNY Cortland Admissions Office and perform various clerical tasks integral to the admissions application process which may include both undergraduate and graduate student populations.
Major Responsibilities:
Receptionist responsibilities including but not limited to:
· Greet and welcome all visitors to the Admissions Office
· Prepare informational folders for all of our visitors
· Stock information brochure cases
· Maintain a clean and tidy reception area and overall management of the physical space
· Assist with the answering of a high volume of calls per day
· Manage and answer emails received at the Admissions@cortland.edu email address
Coordinate the use of the electronic appointment calendar and work closely with the counselors responsible for information sessions and appointments.
Maintain data entry of our visitor’s information into the CRM software program.
Work closely with the admissions counselor responsible for supervision of our student tour guides. Assign tour groups and maintain order in the reception area during peak times.
Perform clerical responsibilities utilizing various software programs – including OnBase, Banner, Parchment, Common Application, Slate, SUNY Campus Connect, etc.
Assist/manage the Common App fee waiver process.
Assist other secretaries with work in their area when needed (eg: freshman, transfer, filing/indexing, data entry, word processing, transfer credit updates, etc.)
