Be a former state employee eligible for reinstatement to the title of Administrative Assistant 2

If you are interested in being considered for provisional pending exam appointment, candidates must be eligible to take and pass the next available Administrative Assistant 2 exam and obtain a reachable score for consideration for possible contingent/permanent appointment. Additionally, candidates must be qualified employees of New York State and have had one year of permanent competitive or 55-b/55-c service as follows: Office Assistant 2 (Keyboarding), Office Assistant 2 (Keyboarding Spanish Language), Law Department Document Specialist 3, Administrative Assistant 1, or Administrative Assistant 1 (Spanish Language). Only the preceding list of titles are qualifying for provisional appointment to the Administrative Assistant 2 position.

Any applications received that do not meet the above requirements as described will be deemed unqualified.

May be filled from a mandatory reemployment list if one is in effect at the time of appointment.

Duties Description Provide principal administrative support to the Dean, College of Arts and Sciences; manage the Dean’s schedule and calendar; arrange appointments at the Dean’s request and maintain electronic calendar for the Dean, Assistant/Associate/Vice Deans and other professional staff in the Dean’s Office as requested; schedule Council of Chairs meetings for the academic year and make room, equipment and refreshment arrangements; schedule Dean/Vice Dean/Associate Dean/Assistant Dean (AAD) weekly meetings for the academic year; schedule monthly staff meetings for College office; prepare and distribute agendas for AAD meetings and Council of Chairs meetings; develop and maintain spreadsheets and databases; prepare various reports as needed; provide Assistant/Associate/Vice Deans with reports and information as requested; review various reports for accuracy and notify the appropriate offices of any errors; maintain personnel files including routine filing; follow up with departments on completion of appointments via paperwork and spreadsheets; follow up with departments in regard to accurate submission of the CAS Teaching Templates; manage the PT Instruction account and provide budget reports/analyses as needed; provide end-of-the year account reconciliation during May to insure the PT Instruction accounts are balanced before the end of the fiscal year; coordinate the distribution and collection of course scheduling materials electronically; maintain database and coordinate tracking of course actions and proposals for the Academic Programs Committee; provide guidance to departmental staff regarding the teaching template; serve as receptionist including handling walk-ins, answering phones and making referrals; attend administrative team staff meetings; screen Dean's phone calls, answers routine questions and make referrals as necessary; create and maintain database and electronic distribution lists for CAS department contacts; update and maintain display cases on the outside of the AS building with current announcements; attend professional development activities as requested by supervisor; help orient and train new office staff; uphold minimum standards for College of Arts and Sciences Secretarial Support Staff; run queries in PS or BI as needed.
