Minimum Qualifications: This title is filled from the Office Assistant 1-Keyboarding eligible list. There are no minimum education or experience requirements. However, for those who pass the written test, prior to being considered for appointment, you will be required to pass a keyboarding test that demonstrates your ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy.

As of February 26, 2022 all OPWDD employees assigned to this location must be full vaccinated against COVID-19. There is no testing option for employees assigned to this location in lieu of vaccination.

Duties Description PRIMARY DUTIES AND RESPONSIBILITIES:

Under direction of the Program Aide, the duties of the Office Assistant 1 may include, but are
not limited to the following:

• Prepare outgoing correspondence and review for proper grammatical usage, clarity, and factual correctness, compliance with policy, program information and conformance to instructions.

• Preference to individual with strong skillsets in Microsoft Office including Access, Outlook, Excel and Word.

• Assists with the organization of the legal records for all campus served individuals. This may include creation of files for new admissions and coordination of the transfer of documents for discharges. Also included in the role is the maintenance of both physical and digital files to include the scanning of or organization of both versions.

• Communication either verbal or written and can include response of providing information that must be researched and compiled from legal or team records. Parties to communicate will include: OPWDDs Counsel’s office, the Attorney General’s office, Bureau of Intensive Treatment Services, Mental Hygiene Legal Services Office, Team staff, Executive staff, Office of Revenue Support, along with various courts and attorneys statewide.

• Prepare and supply supportive documents for court proceedings handled by the Attorney General’s and Counsel’s Office. The coordination of this task may include the use of the EHR, different cloud or file services, and use of email.

• Clerical assistance as requested for different staff, including Chief Psychologist, Licensed Psychologist, Medical Physician, Psychiatrist and DDPS IV.

• Office management role including the oversight of office supplies, including ordering through SDC or Stores as needed.

• Completes mailing of applications or other correspondence to related parties using certified mail.

• Other duties as assigned.
