Minimum Qualifications There are no minimum education or experience requirements for this position. However, prior to being considered for appointment, you will be required to pass a keyboarding test that demonstrates your ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy.
Duties Description The Office Assistant 1 (Keyboarding) within the FPMS is responsible for completing various office tasks in support of DOW purchasing, grant administration, fiscal contract management, and general Bureau operations. These include but are not limited to:
• Prepare, process, and review financial transactions and records, including payments for bills, invoices, and vouchers.
• Maintain basic financial, accounting, and/or statistical records; update and/or correct records, if needed.
• Receive, screen, review, and verify documents, forms, applications, claims, and other documents for completeness, content, and accuracy.
• Enter data into, retrieve data from, and verify accuracy of data within state financial management systems and DOW databases.
• Answering Bureau phone, directing calls, and managing responses to messages.
• Tracking key Division e-mailboxes. Based on supervisor’s direction, respond to emails or conduct some other work with the content of the emails.
• Coordinating meeting logistics, including but not limited to scheduling, setting up webinars, entering meeting attendees into building security systems, making copies of documents to be distributed at meetings, typing meeting notes, and reserving conference rooms.
• Coordinating travel logistics, including reserving conference rooms in regional offices, reserving hotel rooms and vehicles for staff. Completing staff expense reports.
• Scanning documents and electronic filing.
• Answer questions from and provide information to various parties regarding DOW activities, transactions, and procedures; and
• Other duties required to support general operations within FPMS and the Bureau.
Candidates must be punctual, highly organized, and comfortable working on computers with an ability to learn new skills and software. Candidates must be proficient in Microsoft Office including experience with Microsoft Word and Excel. Depending on funding, job is anticipated to be extended into the next fiscal year.
Additional Comments This is a seasonal, hourly appointment with an anticipated end date of 3/31/2022. Program needs and funding will determine actual termination date. Actual work schedule may vary and will be discussed at interview. Telecommuting may be available, will be discussed at interview.
