Duties Description Under the general direction of the Associate Director of Human Resources, the incumbent will be responsible for performing the day-to-day administrative and office management activities for the Office of the Human Resources Management (OHRM). More specifically, the incumbent will:
• Maintain and monitor financial records and prepare documents and reports.
• Order and maintain a record of purchases. Communicate with vendors and contractors related to purchases, as necessary.
• Maintain confidential documents, information, and files in both electronic and paper formats.
• Review incoming correspondence and reports to determine their significance. Make recommendations to management or refer to appropriate person for reply.
• Gather data relevant to complex or unusual inquiries in order to provide a basis for a reply or a decision and/or draft the reply.
• Communicate via the telephone, email, and in-person, including responding to various inquiries concerning policies and procedures.
• Prepare meeting agendas and coordinating background materials for conferences or events. Attend meetings and conferences as necessary and provide meeting summaries.
• Collaborate in the development, enhancement, and design of department processes, procedures, and documents.
• Recommend or implement changes to administrative documents and update office procedures as necessary.
• Gather information and data for special projects.
• Complete, submit and manage Help Desk tickets.
• Update and proactively monitor the Bureau’s intranet pages to ensure the information is current.
• Function independently with little direction or review of work.
• Exercise independent judgment and decision-making on a regular basis.
