Minimum Qualifications Candidates must be a current New York State employee reachable on the Administrative Assistant 1 (Formerly Secretary 1) eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.

OR

Candidates must have one year of permanent competitive or 55 b/c service in a title SG-9 or above, deemed eligible for transfer under Section 70.1 of the Civil Service Law. *Proof of passing a keyboarding test will be required for those who have not previously served in a keyboarding title or have not yet taken a keyboarding test.

Note: Appointment may be made at a traineeship level:
Candidates must have one year of permanent competitive or 55 b/c service in a title SG-06 or above, deemed eligible for transfer under Section 70.1 of the Civil Service Law into the trainee level (Administrative Assistant Trainee 1 or 2)*

*Trainees will be required to complete four mandatory courses the first year of traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, SG-11

Candidates are required to pass a typing test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy. Proof of passing a keyboarding test will be required for those who have not previously serviced in a keyboarding title or have not yet taken a keyboarding test.

Duties Description The Admin Assistant 1 will work in the Staff Development office within the Public Information Office (PIO). Duties include, but are not limited to, the following:

Administrative Support:
• Greet visitors
• Respond to inquiries and requests for assistance via shared mailbox
• Periodically review StaffDev website and documents for accuracy
• Schedule meetings
• Photocopy/scan
• Order and maintain supplies
• Assist other units with equipment requests (laptops, projectors)
• Document internal procedures
• Handle training room bookings
• Set up/reset rooms
• Change student and guest trainer passwords
• Maintain and keep track of training laptops
• Organizing electronic documents for the unit
• Assist in onboarding of new Staff Development Unit employees
• Assist PIO and other units as needed

Training Support:
• Statewide Learning Management System (SLMS) administration: updating data, marking completions, creating courses/classes, scheduling classes, enrolling trainees, creating rosters, tracking employees on leave, assisting trainees, running reports, and administering the Supervisory Basics program.
• Ensure all new employees and consultants gain access to the SLMS. Notify them of the mandatory training requirements of the NYS Workers’ Compensation Board (WCB) and the Office of Employee Relations (OER). Notify employee/consultant and the employee’s/consultant’s supervisor of any non-compliance on WCB mandates.
• Administer the rollout of NYS Workers’ Compensation Board (WCB) and Office of Employee Relations (OER) annual mandatory training programs, including: creating learner groups, performing mass enrollments, coordinating internal testing, drafting and sending approved announcements, providing user support, and running and disseminating compliance queries to Human Resources and management.
• Tester: of online programs in SLMS and CourseMill learning management systems; training environment scenarios; webinars; etc.
• Survey creation, maintenance, and report pulling using various applications including Survey Monkey
• Make room reservations
• Prepare materials
• Ship materials
• Webinar support

The candidate must have demonstrated keyboarding and writing skills, and be proficient with Microsoft Word, Excel and PowerPoint.

Note: There is no supervision or overtime required in this position.
