Minimum Qualifications MINIMUM QUALIFICATIONS:
Reassignment: Candidates must have one year of permanent competitive or 55b/c service as an Archives and Records Management Specialist 4.
Eligible List Appointment: Candidates must be reachable on the Civil Service eligible list for this title. If you are on the Civil Service eligible list for this title, you may receive a canvass letter. You must complete and return it as instructed on the letter.

Duties Description The New York State Education Department’s (NYSED) Office of Cultural Education is seeking candidates for an Archives and Records Management Specialist 4 position in the New York State Archives. Under the direction of an Archives and Records Management Specialist 5, the Archives and Records Management Specialist 4 is a senior manager in the Archival Services Division and will actively be involved in leading programs for acquisition and preservation of, and provision of public access to, archival records within the New York State Archives. Duties of this position include, but are not limited to, the following:
• Administer day-to-day operations of the Access Services Unit including development of budgets and work plans, hiring, and supervision of staff;
• Develop and maintain systems and tools to facilitate and support use of State Archives records including the provision of remote access to materials via online services;
• Manage the development and maintenance of finding aid content to provide access for all records held by the State Archives;
• Manage the acquisition and accessioning of agency records in any format including paper and electronic;
• Manage the processing and description of accessioned records;
• Manage programs and systems for the curation of records in the custody of the state archives including housekeeping, space management, and container tracking;
• Develop, submit, lead and participate in grants, major procurements and special project proposals to improve access to New York’s historical records;
• Participate in the review of appraisal reports and respond to recommendations for records disposition; and
• Represent Archival Service interests and access concerns on cross organizational teams and other collaborative endeavors including the Library/Archives Committee.
Additional Comments CONDITIONS OF EMPLOYMENT: This will be a permanent appointment. Promotions and transfers may change appointees’ negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits.
This position leads to a maximum salary of $114,393 based on annual performance advances.
