Minimum Qualifications Eligible for a lateral transfer or eligible for a 70.1 transfer by having one year of permanent competitive service in an appropriate title;

OR

Reachable on the appropriate eligible list in Albany.

Provisional qualifications: one year as an Office Assistant 1; or one year of permanent competitive service in a clerical or keyboarding title allocated to Grade 5 or higher.*

Duties Description Working in the Bureau of Human Resources (BHR) in the Division of Administrative Services, duties include but are not limited to:

• Scan documents into electronic Personal History Folder (PHF) file system. Review scanned documents in employees’ PHF to ensure scan was clean and properly filed.

• Assist Recruitment Unit with various aspects of OTDA's job postings, from start to finish. Set up and maintain job postings files, monitor Job Postings email inbox, print and file resumes, contact applicants for additional information when needed, prepare correspondence to applicants.

• Assist with coordination of new employee Orientation.

• Greet visitors and field incoming telephone calls to Bureau of Human Resources (BHR).

• Assist in handling emails in the BHR mailboxes.

• Retrieve physical mail from BHR mailbox; Sort, date stamp, and distribute mail.

• Maintain stock of office supplies; order office supplies in the Statewide Financial System (SFS), as necessary.

• Enter purchase orders and invoices into SFS. Receive orders in system.

• Perform other administrative support tasks.

Additional Comments You must be a current New York State employee to apply for this position. A full-time permanent or provisional appointment will be made. If certified by Civil Service, mandatory reemployment list candidates must be considered first for appointment to this title. This position’s work hours are 9 am to 5 pm.

*In order to be considered for a provisional appointment to the Office Assistant 2, you must have taken the Office Assistant 2 examination on November 5, 2022. If appointed, you must be immediately eligible for appointment from the eligible list in order to maintain continued employment in this position.
