Minimum Qualifications You must be currently reachable on the appropriate eligible list for this title, eligible under the 55 b/c program (see below), or eligible to transfer to this title under Section 70.1 of the Civil Service Law.

70.1 Transfer:

For a 70.1 transfer to a(n) Office Assistant 1 (Keyboarding), SG-06, you must have one year of permanent competitive service in an approved 70.1 title allocated to a salary grade 04 or above.

Appointments via transfer must not result in a second, consecutive transfer with an advancement of more than two S-grades or one M-grade.

55-b/c program:

This position may be designated 55 b/c and is subject to verification of applicant eligibility.

For 55 b/c appointment, you must:

· Possess the minimum qualifications for the selected title as established by the Department of Civil Service and listed on the most recent exam announcement.

· Meet the applicable minimal mental and/or physical requirements for the job (with a reasonable accommodation, if necessary)

· Have a current Eligibility Letter from the NYS Department of Civil Service, www.cs.ny.gov/rp55/, and be able to provide it to the Human Resources Office upon request.

Duties Description · Gather and prepare daily reports on mailroom activity and input them into appropriate spreadsheets.

· Prepare, distribute, and track quarterly bills for internal customers.

· Monitor US Postal Service (USPS) and Pitney Bowes accounts.

· Monitor supply usage and prepare request for reordering.

· Correspond with vendors and customers.

· Prepare reports.

· Perform clerical activities including, but not limited to, typing, proofreading, reviewing, and correcting correspondence, as well as documents and records. Complete corrections to format, as well as ensure accuracy and validity.

· Set up and operate the mailroom equipment including, but not limited to, mail metering machines, sorters, insertion machines, and folder/pressure sealer equipment.

· Identify performance deficiencies in the above equipment and address them, on a timely basis, by all appropriate means until they are resolved.

· Perform equipment adjustments and minor repairs to mail equipment, as needed.

· Complete all appropriate clerical activities, reporting procedures, and actions associated with processing outgoing mail; including accounting and reconciliation reports, as required.

· Ensure all applicable US Postal Service requirements are followed and delivery deadlines are met.

· Package mail trays as instructed by tray-catching report.

· Print and attach proper tray labels.

· Review and attach proper postal reports.

· Complete all appropriate clerical activities, reporting procedures, and actions associated with packaging pre-sorted mail; including accounting and reconciliation reports, as required.

Additional Comments Knowledge, Skills, and Abilities

· Ability to prepare and maintain standard records and reports.

· Ability to understand and carry out verbal and written instructions.

· Ability to learn the rules, regulations, and rates of the US Postal Service.

· Ability to learn the operation, adjustment, and care of post processing equipment.
