Minimum Qualifications REASSIGNMENT QUALIFICATIONS
Current Department of State employees with one year of permanent, contingent permanent, or 55 B/C service as an Office Assistant 1, if less than one year, you must be currently reachable on the Office Assistant 1 eligible list for the Albany location if one exists.

TRANSFER QUALIFICATIONS
One year of permanent, contingent permanent, or 55 B/C service allocated to a Grade 6 or higher eligible for transfer and determined to be similar by Civil Service.

55 B/C QUALIFICATIONS
Individuals certified eligible for the 55 B/C program under the Governor's Program to Hire Persons/Veterans with Disabilities pursuant to Section 55 B/C of the Civil Service Law will also be considered. Please provide a copy of your letter of eligibility with your response.

Duties Description Processing Unit:
The Office Assistant 1 duties will include but are not limited to the following:
• Process requests to certify documentation for use in other countries (Apostille)
• Assist in searching records for preparation of license histories and certifications
• Prepare certified copies of application records
• Maintain licensing files
• Distribute internal mail
• Assist with records retention
• Perform other clerical tasks as needed

Application Audit Unit:
The Office Assistant 1 duties will include but are not limited to the following:
• Print, sort and file an average of 175 criminal records and arrest notifications received daily from the Division of Criminal Justice Services
• Answer phone calls directed to the unit from the public and departmental employees and provide accurate information
• Open incoming mail and distribute accordingly
• Prepare and mail requests for documentation and denial letters to license applicants
• Perform other clerical tasks as needed

Revenue Unit:
The Office Assistant 1 duties will include but are not limited to the following:
• Assign cash numbers to payment instruments and application forms
• Assist in the reconciliation of cash reports
• Process refund requests
• Process insufficient payments
• Perform other clerical tasks as needed
• Distribute internal mail
• Assist with records retention
