Candidates must have a reachable score on the Office Assistant 2 (Calculations) list; or
Have a current permanent appointment with 1 year of service as an Office Assistant 2, or in a title eligible for transfer to Office Assistant 2; or
Appointment as Office Assistant 2 here at UAlbany with less than 1 year of service (remainder of probationary period to be completed in new assignment); or
Be a former state employee eligible for reinstatement to the title of Office Assistant 2
PROVISIONAL PENDING EXAM
Candidates must be a qualified employee of New York State and have ONE YEAR of permanent competitive or 55b/c service in an office assistant, clerical, or keyboarding title allocated to grade 6 or higher AND have taken the Office Assistant 2 (Calculations) exam recently held on November 5, 2022 AND obtain a reachable score for contingent / permanent appointment.
May be filled from a mandatory reemployment list if one is in effect at the time of appointment.

Duties Description Procure goods and services with transaction values under $5,000 for various projects and shops on campus.
Reconcile credit card statement monthly.
Communicate with campus finance offices (Budget, Purchasing, Accounting, etc.) as well as units internal to Facilities (OCP, AECM, Shops, etc.) to create, revise and close out facilities accounts and work orders and ensure financial transactions are accurately recorded across Facilities Management.
Verify account balances and review departmental expenditures to ensure accuracy and appropriateness.
Provide phone and email order support to staff across the Facilities Department.
Support efforts and initiatives to maintain and enhance the AiM Work Order System, including assisting with work order and project closeouts and reconciliations.
Provide assistance in training on the ordering process rules and regulations to new shop staff and other new staff.
Place online orders with university’s designated online ordering vendors.
Provide phone and front desk coverage when needed.
