Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.

If a viable eligible list does not exist, a provisional appointment may be made in accordance with Civil Service Law. Candidates who accept a provisional appointment must take the next competitive examination and be reachable on the resultant eligible list in order to be considered for permanent appointment to the position.

You must be a qualified employee of New York State and have had one year of permanent competitive or 55-b/55-c service in a G-5 or higher clerical, secretarial, keyboarding or paraprofessional** title set in an office environment. Qualifying titles are available at: www.cs.ny.gov/examannouncements/announcements/00340titles.cfm.† Only the title(s) listed is qualifying for this examination(s).
**Only paraprofessional titles in an office environment will be considered qualifying. Service in a direct care title is not qualifying experience. Examples of non-qualifying titles are: Developmental Disabilities Secure Care Treatment Aide 1; Direct Support Assistant; Food Service Worker 1; Licensed Practical Nurse; Mental Health Therapy Aide; and Security Services Assistant.
Duties Description The incumbent will work under the direct supervision of the Administrative Services Director in the Administrative Services Office. Responsibilities include, but not limited to:
• Oversee various aspects of the fiscal and business management of the Regional Office.
• Prepare and process purchase orders and ensure compliance with purchase guidelines and New York
State Accounting procedures, including the rules and regulations of the Office of the State Comptroller.
• Serves as liaison with building management for issues related to health, safety, and comfort.
• Serve as the Regional Training Coordinator; maintain and update the Statewide Learning Management
System (SLMS); coordinate and track all training/educational development activities including annual mandatory OER classes.
• Supervise lower-level staff as needed.
• Assist in gathering or compiling data for audit reports.
• Create spreadsheets or other visual aids to display data.
• Assign work to staff; schedule workflow; establish work performance standards; review work performance and production; determine the nature of problems and take corrective action.
• Oversee record-keeping, bookkeeping, reconciliation activities, and purchasing.
• Supervise mail and inventory-related tasks.
• Serve as a SFS (State Financial System) Point of Contact; assist regional staff with password resets,
locking and unlocking accounts, verifying the accuracy and completeness of submitted SFS User Access forms; assist staff with requesting Procurement and Travel Cards and requesting updates to Employee Profiles or Proxy relationships.
• Additional duties as assigned.
Additional Comments Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
*Telecommuting: The Department’s current telecommuting agreement is valid through February 15, 2023 and is subject to extension beyond that date.
