Minimum Qualifications MINIMUM QUALIFICATIONS:
Permanent services as an Office Assistant 2
OR
Reachable on the current Civil Service list for an Office Assistant 2
OR
At least one-year permanent service in a title eligible for a 70.1 transfer pursuant to Civil Service Law
OR
For Provisional Appointment: Candidates must be eligible for a provisional appointment pending examination. To be eligible, candidates must be a qualified employee of New York State and have had three months of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher.
* If you are appointed provisionally, you must take the next scheduled civil service examination for this title and your score must be reachable on the resulting eligible list before you can be permanently appointed. If you do not pass the examination or achieve a reachable score, you may not be retained *.
Duties Description POSITION DESCRIPTION:
• The incumbent will assist with tasks associated with the TD&T (Brooklyn/Bernard Fineson).
• General receptionist duties, answer, and direct telephone calls to the appropriate staff.
• Respond to standard inquiries, taking meeting minutes when requested.
• Open and stamp incoming mail, data entry, photocopying.
• Maintain all files for the department, status changes, maintaining office calendar, checking forms for completeness and accuracy.
• Periodic physical inventory and maintain records, keep shelves and stock clean, neat and in proper place.
• Setup staff trainings offered by the local office, enter trainings in SharePoint or/and SLMS in a timely manner.
• SLMS classes are created, administered, and entries are completed and correct.
• Ensure classes are supported and scheduled, with room, equipment and materials needed, particularly NEO, Promote, AMAP, First Aid and CPR.
• Local and regional training calendars are correct, coordinated, and distributed.
• New Employee Orientation (NEO) programs are supported.
• Provision of training records and reports for DDRO, DDSOO, HR, OIIA and Justice Center.
