Duties Description The incumbent of this position will serve as an Executive Assistant in the Office of the Commissioner at the NYS Office of Children and Family Services and would be responsible for working with confidential and sensitive information while managing information flows relating to leadership assignments and projects on behalf of the Commissioner.

Specific tasks will include but are not limited to:
• Direct and advise the executive leadership’s administrative assistants on agency procedures and resources.
• Manage information flows relating to leadership assignments/projects on behalf of the Commissioner. This includes, assigning tasks to leadership staff, ensure all proper departments have reviewed, review deliverables and edit as needed before submitting for the Commissioner’s review.
• Manage the Commissioner’s email, including daily monitoring, implementing an organization/ flagging system, following up on any outstanding items and respond to emails on the Commissioner’s behalf, when directed.
• Developing standard operating procedures for Executive Office including day to day activities and specific office protocols.
• Oversee Agency Cabinet meetings, including topic lists, preparation, coordination with agency leadership, taking minutes and distribution.
• Lead Assistant working with the Governor’s Office in scheduling, communication and support for policy and legislative initiatives
• Respond to the public, elected officials and other agency’s executive management regarding questions, issues, complaints, etc.
• Confidential handling of information, documents and reports
• Preparation of confidential and sensitive summary information to support agency operations
• Preparing agendas and briefing materials for both internal and external meetings.
• Managing incoming correspondence and responses in an efficient and timely manner.
• Attending meetings with the Commissioner, preparing meeting minutes and circulating to attendees.
• Complete any special projects on an as needed basis

Additional Comments Hours are 9-5.

Background Investigation Requirements:

1) All prospective employees will be investigated through a Criminal Background Check (CBC), which includes State and federal Criminal History Record Checks. All convictions must be reported; conviction of a felony or misdemeanor, or any falsified or omitted information on the prospective appointee’s employment application, may bar appointment or result in removal after appointment. Each case will be determined on its own merits, consistent with the applicable provisions of State and federal laws, rules, and regulations. Prospective employees will be fingerprinted in order to obtain a record of their criminal history information, and may be required to pay any necessary fees.

2) All prospective employees will be screened against the Statewide Central Register of Child Abuse and Maltreatment (SCR). Prospective employees will be required to pay any necessary fees.

3) For Division of Juvenile Justice and Opportunities for Youth (DJJOY) prospective appointees will be checked against the Staff Exclusion List (SEL) maintained by the Justice Center for the Protection of People with Special Needs. Prospective employees whose names appear on the SEL as having been found responsible for serious or repeated acts of abuse or neglect will be barred from appointment and may have their names removed from the eligible list(s) for the title(s) if applicable.
