Minimum Qualifications Minimum Qualifications:
Candidates must be permanent competitive or 55b/c employees of New York State to be eligible to apply for this position.

Permanent Appointment:
One year of permanent competitive service as an Administrative Assistant 1 OR be reachable on the Administrative Assistant 1 eligible list OR have one year of permanent competitive or 55b/c service in a title eligible for transfer under Section 70.1 of the law; or 55b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.*

*Note: Appointment may be made at a traineeship level. A two-year traineeship (Administrative Assistant Trainee 1, NS=Grade 8 & Administrative Assistant Trainee 2, NS=Grade 10) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019.

Trainees will be required to take four mandatory courses in the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, SG-11.

Duties Description The Department of Technology at the State University of New York at Oswego invites applications to fill a full-time permanent, Administrative Assistant 1 position, Grade 11.

Description of Responsibilities:

• Administrative Assistant to the Department of Technology Chair and Faculty. Manage departmental organizational resources including calendars, contact lists, and email lists.
• Manage departmental budget allocations and assist with faculty procurement card reconciliation processes.
• Respond to student inquiries and refer them to the department chair, advisers, and faculty as appropriate for undergraduate and graduate students. Manage communications by phone and electronic means with faculty, students, recent graduates, and other professionals supporting our programs.
• Coordinate and schedule graduate candidacy exams in cooperation with the department graduate program coordinator. Coordinate and manage graduate student records for admissions, degree candidacy, and graduation.
• Manage and maintain student records including student advisement folders. Coordinate with the Registrar's Office, SOE Dean's Office, and Graduate Studies Office for student records including graduation forms, deviations, overrides, independent studies, and first aid cards. Coordinate with the School of Education Dean's office, department faculty, and students with respect to assessments and record keeping through TK20.
• Maintain inventory and manage department office resources including supplies, copying resources, basic laboratory support resources, forms, and records.
• Assist with organization and operations for department sponsored events including a 450+ attendee annual Fall Conference, student organization events, recruitment activities, and competitions. Responsibilities will include registrations, budgeting, accounting, scheduling, correspondence, record keeping, document preparation, and coordinating with other offices on campus.
• Assist with managing department media and communication for recruitment, alumni outreach, and promotion including webpages, social media, print literature, and written correspondence.
• Administer and manage online faculty course surveys. Collect and file course syllabi and other faculty review documents and personnel records.
