Minimum Qualifications MINIMUM QUALIFICATIONS:
Reassignment: Candidates must have one year of permanent competitive or 55b/c service as an Office Assistant 3 (Calculations).

Eligible List Appointment: Candidates must be reachable on the Civil Service eligible list for this title. If you are on the Civil Service eligible list for this title, you may receive a canvass letter. You must complete and return it as instructed on the letter.

Section 70.1 Transfer: Candidates must have one year of permanent competitive or 55b/c service in a title SG-12 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law.

Provisional Appointment: In the absence of an eligible list with three or more candidates willing to accept a position, a temporary provisional appointment may be considered. For provisional appointment, candidates must have one year as an Office Assistant 2; or one year of permanent service in a clerical, keyboarding, or paraprofessional title allocated to Grade 7 or higher. Provisional candidates must take the examination for Office Assistant 3 (Calculations) when it is next offered, and must be reachable on the resulting eligible list to maintain employment.

PREFERRED QUALIFICATIONS:

Preference may be given to candidates who have:
• Experience with Microsoft Outlook, Excel, Access, and Word

Duties Description The New York State Education Department (NYSED) is seeking a candidate for an Office Assistant 3 (Calculations) position in the Contract Administration Unit. Duties of this position include, but are not limited to, the following:
• Review and process Special Legislative Project grants in the Statewide Financial System
• Perform data entry, run weekly status reports, and other administrative duties associated with contracts, as required;
• Work in conjunction with SED program staff to ensure competitive/non-competitive grant contract awards maintain sufficient levels of funding for continuation of required services;
• Perform Vendor Responsibility Reviews and prepare Vendor Responsibility Profiles that meet requirements established by the Office of the State Comptroller for awarding contracts to responsible vendors;
• Review budgets and other required application documents from competitive mini-bids for use in preparing contract awards; and
• Supervise Office Assistant 1 in the CAU.

Additional Comments CONDITIONS OF EMPLOYMENT: This will be a contingent permanent appointment. For 55b/c appointment, candidates must possess the minimum qualifications, a current 55b/c eligibility letter and is subject to verification of applicant eligibility. Promotions and transfers may change appointees’ negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits.

This position leads to a maximum salary of $64,693 based on annual performance advances.
