Minimum Qualifications Permanent Transfer: Current Department of Health employee with one year or more of permanent/contingent-permanent, competive or 55b/c service as an Administrative Assistant 2 (formerly Secretary 2); OR current New York State employee with one year or more of permanent/contingent-permanent, competive or 55b/c service in a title at or above a Grade 13 and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant 2 (G15). Provisional: Current NYS Department of Health employee with one or more years of permanent/contingent-permanent, competive or 55b/c service as an Examination Composition Assistant, Keyboard Specialist 2, Keyboard Specialist 2 (Spanish Language), Keyboard Specialist 3, Law Department Document Specialist, Office Assistant 2 Keyboarding, Office Assistant 2 Keyboarding (Spanish Language), Secretary 1, Secretary 1 (Spanish Language), or Senior Data Entry Machine Operator.
Preferred Qualifications: At least one year of experience compiling, editing and formatting reports; developing and maintaining task tracking tools, and communicating office procedures. Experience with Microsoft Outlook, electronic calendars, Word, Excel, Power Point, and Adobe Acrobat. Experience coordinating meetings, conferences or other forums.
Duties Description The Administrative Assistant 2 (G15) will provide administrative support for the Bureau of Community Chronic Disease Prevention (BCCDP) and the Bureau of Cancer Prevention and Control (BCPC). Responsibilities include: creating, and/or assisting in the creation, revision and formatting of documents, reports, correspondence and forms using word processing and specialized software packages; scheduling meetings, arranging conference calls with multiple phone lines, webinars and other conferencing software, etc.; assisting with preparation of meeting agendas; coordinating Bureau leadership calendars and programing/scheduling activities; serving as a liaison between staff and other Bureaus within the Division of Chronic Disease Prevention to provide administrative support; organizing and maintaining paper and electronic storage files; providing administrative support for personnel transactions; assisting with new staff recruitments to include scheduling interviews, preparing interview materials, and onboarding new staff; maintaining staffing rosters and contact lists, and processing purchase orders/requests. Other appropriate related duties as assigned.
Additional Comments Contingent-permanent, full-time, competitive (transfer) or provisional position. Applicants may be asked to provide their SS# to verify eligiblity. Transfer candidates in some titles may be rquired to successfully pass a keyboarding performance test. Candidates who may be appointed as a provisional will be required to take the next competitive Administrative Assistant 2 (G15) examination when offered by Civil Service and be immediately appointable off of the resulting eligible list to maintain employment in the title.
