Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law, or be appointed in accordance with provisions provided by Civil Service Law, Section 55b/c.

To be transfer eligible you must be a current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 6 or above, and eligible to transfer under Section 70.1 of the Civil Service Law.

Keyboarding Test
To be appointed as an Administrative Assistant Trainee 1 or 2 or Administrative Assistant 1, candidates are required to pass a typing test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy. Generally, the keyboarding test is only valid for five years from the date the candidate passes it.

OR

Candidates must demonstrate adequate keyboarding skills by prior service in a keyboarding title.

Duties Description Starting as an Administrative Assistant in Human Resources is an excellent entry point to kickstart a career in HR. This role often involves supporting various HR functions, providing exposure to different aspects of the field. You may handle tasks such as managing employee records, scheduling interviews, and assisting with onboarding processes. It's a valuable opportunity to gain foundational HR experience and develop skills crucial for future advancement in the field.

The incumbent of this position will perform administrative tasks for the Office of Human Resources. Duties include, but are not limited to:

• Applying a working knowledge in all Microsoft Office products, specifically, Outlook, Word and Excel.
• Greeting employees and other visitors that wish to talk to staff within the office
• Entering visitors into the Visitor Management System as requested
• Posting bulletins and job vacancy announcements, tracking, and organizing responses
• Responsible for maintaining filing systems within the office
• Managing a shared e-mail box, responding, or forwarding e-mails as appropriate
• Procuring office supplies and equipment as needed
• Coordinating agendas and scheduling meetings through WEBEX and/or TEAMS
• Making travel arrangements and preparing appropriate travel forms
• Supervising clerical staff in lower salary graded titles
• Other clerical duties as assigned

Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.

Trainees will be required to take eight courses, four mandatory and four electives, in the following administrative support competencies:

• Computer Skills and Technology
• Interpersonal and Customer Relations
• Professionalism and Self-Management
• Verbal and Written Communication

Trainees will be able to take these competencies through The NYS & CSEA Partnership, either through classroom or online training and webinars, or equivalent offering through another entity as determined by the Agency.

The following four administrative support core courses are mandatory and should be completed before advancement or appointment to Administrative Assistant Trainee 2.

Microsoft Word Basics
Customer Service
Organized Office Worker
Successful Business Writing

Failure to complete the required Traineeship-Coursework Requirements prior to completion of the traineeship will result in a termination from the position.
