Minimum Qualifications Current NYS employee with one year or more of permanent or contingent-permanent, competitive service as an Administrative Assistant 2 or Secretary 2, OR a NYS employee with one year or more of permanent or contingent-permanent, competitive service in a position allocated to a Grade 13 or above and eligible for transfer under Section 70.1 of the Civil Service Law.

Preferred Qualifications: Experience working with MS Word, Excel, Acess, Powerpoint, Visio, Outlook, and the Adobe software products. Strong written and oral communication skills; Demonstrated skill in working in a fast-paced environment; Ability to organize and meet time-sensitive deadlines

Duties Description Professionally communicate with internal/external stakeholders outreaching Executive OALTC staff both verbally and in writing; answer a multi-line phone and assigned electronic mailbox(es) providing appropriate responses, take complete messages and routing appropriately, or refer complex/technical questions to the appropriate staff. Assist with general office duties such as printing, photocopying, order office supplies, maintain OALTC specific staff lists and track or follow-up on correspondence. Strong ability to multi-task, organize and operate proficiently with the Microsoft Office Suite of Programs. The Admin Assistant 2 will also Maintain calendars for Deputy Director, Special Advisor and as required for the Deputy Commissioner for the Office of Aging and Long-Term care, schedule Executive level meetings using Microsoft Outlook, WebEx, Microsoft Teams, Zoom; ensure all required meeting materials, appearance forms and agendas are professionally and appropriately prepared and distributed to attendees in advance of the meeting date; and prepare meeting minutes as directed. This position will also, coordinate and arrange travel by working through NYS Travel Agency; act as travel proxy, including completing travel requests and reconciling expense reports through the Statewide Financial System following state travel policies and procedures. Additional duties will including maintaining various tracking and database systems including tracking and follow-up of priority assignments. This includes logging, tracking and routing correspondence through database system for appropriate review and signature/approval. Also includes reviewing and proofreading documents, including all executive level correspondence for accuracy, clarity, spelling and grammar, etc.
