*Note: Appointment may be made at either the trainee 1 or trainee 2. A new two-year traineeship, (Administrative Assistant Trainee 1, NS=Grade 8 starting salary $38,073 & Administrative Assistant Trainee 2, NS=Grade 10 starting salary $42,493) leading to Administrative Assistant 1, Grade 11, has been approved effective October 31, 2019. Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. Trainees having completed the mandatory coursework prior to appointment may be eligible for appointment to the Trainee 2 level with appropriate approvals. All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

Preferred Qualifications: The preferred candidate must be able to work with a diverse group of professionals; have strong organizational and communication skills (written and verbal), strong attention to detail, and a desire to contribute in a team-oriented environment. The preferred candidate must be able to manage and organize multiple tasks in a fast-paced office setting; knowledge of office administration; proper grammar, punctuation, spelling, and business communications and have proficient computer skills; including experience using Microsoft Office products.

Duties Description Within the Bureau of Accounts Management (BAM) Revenue Unit, the Administrative Assistant 1 will provide support for BAM Revenue managers, ensure efficient office operations, and help provide for adequate resources in support of program objectives. Duties may include but not be limited to:
- Document and prepare remote deposits of incoming checks and payments from DOH Programs, and communicate status back to Program upon executed deposit;
- Monitor Unit BML, distributing emails to the appropriate Revenue Unit staff;
- Oversee Marriage License Fee Collections from NYS municipalities, update payment information into databases, and report statuses up to Unit Manager on a weekly basis;
- Use various information technology applications such as email, database, spreadsheets and word processing applications;
- Create, maintain, and enter information into spreadsheets and databases;
- Open, read, route, and distribute incoming mail or other materials and answer routine inquiries;
- Prepare and package correspondence to go to outside orgainzations and individuals; and
- Photocopy, scan and file documents.

Additional Comments For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
