Minimum Qualifications Permanent: NYS employee with one year or more of permanent or contingent-permanent competitive service as a Program Aide, G-13 or a current NYS employee with one year of permanent or contingent-permanent competitive service in a title allocated to G-11 or higher, and eligible for transfer to Program Aide under Section 70.1 of the Civil Service Law.
Provisional Candidates: Current DOH employee and 1 year of permanent competitive or service in a G-5 or higher clerical, secretarial, keyboarding or paraprofessional title set in an office environment. If three or fewer NYS DOH promotional candidates respond to this posting, the agency may, at its discretion, nominate a qualified employee for non-competitive promotion under the provisions of Section 52.7 of the NYS Civil Service Law. Employees must have one year or more of
permanent or contingent-permanent service as described above. If
certified by Civil Service, mandatory reemployment list candidates
must be considered first for appointment to this title. Candidates
being considered under this provision must not have either failed to
pass, or failed to apply for (if qualified), the last holding of the
Agency Program Aide examination, #00-340, held on January 7, 2017.
Provisional appointees will be required to apply for and take the
next Civil Service examination announced for this title, and achieve
a high enough score to be immediately appointable from the
resulting eligible list, in order to maintain employment.
Preferred Qualifications: Excellent organizational, written, interpersonal, and communication (both written and oral) skills; Experience in handling confidential information; Strong attention to detail; Previous experience in scheduling and facilitating meetings including managing multiple staff calendars and preparing/disseminating meeting minutes; Ability to manage and prioritize multiple tasks and maintain accurate records and filing systems, including the creation of efficient and effective electronic filing systems; Experience using various computer software, such as, Microsoft Office products (Outlook, Word, Teams, Excel and Power Point), WebEx, Zoom and Adobe Pro.
Duties Description Within the Division of Health Care Plan Contracting & Oversight, Bureau of Managed Care Certification and Surveillance (BMCCS), the incumbent will provide day-to-day professional administrative support to BMCCS. The incumbent is responsible for: maintaining calendars and scheduling meetings using conference rooms as well as technologies such as Microsoft Outlook, WebEx, Zoom and Microsoft Teams; preparing letters/emails, reviewing and evaluating documents for accuracy, clarity, spelling and grammar, etc., routing for appropriate approvals and tracking progress; creating and maintaining electronic filing systems, ensuring adherence to all applicable policies and procedures; completing Travel requests and expense reports, as needed; timely distribution and flow of mail, maintaining mail logs; ensuring electronic and paper documents, including meeting minutes, reports, records, letters and memos, are filed properly and can be retrieved when needed; and providing phone and administrative backup, arranging backup coverage when needed. Other activities as may be deemed necessary in response to the changing needs of the Bureau.
