Minimum Qualifications •As a Grade 23 Business Lead for the BOSS Team, we would expect a minimum of 2 to 5 years of procurement, contract or business office experience - preferably within New York State agencies.
The following degrees may substitute for the general experience as indicated:
•Associate’s degree and four years of experience
•Associate’s degree including 15 semester credit hours in
computer science and three years of experience
•Bachelor’s degree and three years of experience
•Bachelor’s degree including 15 semester credit hours in computer science and two years of experience
•Master’s degree in computer science or related field substitutes for an additional year of experience
•Doctorate in computer science or related field substitutes for an additional year of experience
Duties Description Under the direction of the Back Office Services Support (BOSS) team lead SG-25, the Project Assistant of the BOSS Team, SG-23, will provide support and guidance to the team of Admin Assistants that are engaged in processing of procurement transactions for the Chief Technology Office.
•Provide additional training, oversight and guidance to newer staff to help them gain familiarity with the procurement process.
•Serve as a resource for difficult procurements and help newer staff members complete workload.
Enter B-1184 information into DOB System based on direction from Team Lead.
•Include attachments that backup the procurement. For example: comparison sheet, procurement request form,
•Generate email requesting review/approval.
•Track status of B-1184 as it goes through approvals and update tracking spreadsheet.
•Notify Team Lead when B-1184 is approved and provide copy of approval document.
•Working in the BOSS SharePoint, manage the procurement request forms that are assigned to you as an admin
and validate submissions.
•Work with other team members to cover outstanding requests.
•Follow-up on paperwork directly and/or elevate any delays to Team Lead.
•Enter data timely and accurately. Proofread and correct any errors.
•Organize and maintain electronic files.
•Entering FTF (Finance Transaction Form) into Vendor Sourcing and Management's SharePoint.
•Include attachments that backup the procurement. For example: Attachment 1, quote from vendor,
procurement request form.
Processing in SFS:
•Entering PR into SFS system and track routing.
•Track progress of PR to ensure it turns into PO and is dispatched.
•Adheres to all State, ITS policies and agency information bulletins.
•Conducts himself/herself in a way to model agency values: customer-driven, integrity, innovation,
•professionalism, accountability, teamwork, continuous improvement.
•Attend required training as needed.
•Additional assignments as requested and assigned.
•Present yourself in a courteous and professional manner in person, via the phone and through email
Additional Comments Fingerprinting and background check are required for employment with ITS.
