Minimum Qualifications To be considered for appointment, candidates must be eligible for reassignment or transfer in accordance with Civil Service Law OR be reachable on the appropriate Civil Service eligible list.
Candidates must have permanent status as an Administrative Specialist 1, Grade 18, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 or 52.6 of the Civil Service Law into the Administrative Specialist 1 or Administrative Specialist Trainee level.

Duties Description The Administrative Specialist 1 will be part of the Canal Corporation’s Administrative Services Team which includes Business Services and Enterprise Services & Policies. They will support the Corporation’s daily business operations, as well as the day-to-day management of the Albany Headquarters.
Coordinate with subject matter experts to create, update, and/or proofread official documents, including policies and procedures, for grammatical cohesiveness, accuracy, clarity, and spelling.
Review policies and procedures, in accordance with NYPA Internal Business Controls, to update as appropriate in a Shared Services governance model. Work with key stakeholders within Canals for necessary signoffs, and ensure documentation is properly recorded for audit purposes.
Facilitate information flow and approval of documents among Canals Section employees and the Management Team.
Develop and maintain office procedure manuals.
Develop and maintain Corporation forms using the Adobe suite of products.
Liaise with Technical Services and NYPA Information Technology to ensure the Corporation Intranet is updated and current with documentation and information.
Communicate professionally and effectively with internal/external stakeholders both verbally and in written format.
Monitor, manage, and generate responses for the Canals administrative mailbox, which is the point of contact for administrative inquiries, as well as the collection of administrative information. Occasional development of reports from the information gathered from this mailbox.
Coordinate with Human Resources to process incoming approved Reasonable Accommodation requests concerning equipment, clothing allowances or boot reimbursements.
Serve as point of contact to address day-to-day operational issues with the landlord for Albany facility needs.
Assist with general office activities including office supply inventory, office seating management, building parking and access, and coordinate rental/pool vehicle usage and assignment of correspondence.
Assist Accounts Payable as needed on vendor inquiries, P-Cards, Travel Cards, and invoice processing.
Participate in meetings and prepare meeting materials as needed.
Set up and manage paper and electronic filing systems.
Oversee and process incoming and outgoing mail. Review incoming correspondence and route to respective Business Unit or Subject Matter Expert (SME) for follow-up.
Track and report on key administrative activities to the Manager of Administrative Services. Schedule and arrange meetings in coordination with calendars of the Manager, Administrative Services and the Manager, Business Services.
Perform other tasks as needed in support of administrative activities for the Albany Headquarters and the Corporation
