Minimum Qualifications:
Administrative Assistant 1 - Minimum Qualifications
Candidates from outside State Service can be considered for hire under the Hiring for Emergency Limited Placement – Statewide (NY HELPS) program as an Administrative Assistant 1 if they have two (2) years of administrative support experience which includes use of office software, provision of customer service, business writing, and/or management of an office and must pass a keyboarding test; 30 words per minute with at least 96% accuracy.

Substitution: Certification (e.g. IAAP Certified Administrative Professional) or associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.

OR

Candidates from within State Service can be considered for a competitive class appointment if they have one year of permanent competitive or 55-b/55-c service in a title eligible for transfer under Section 70.1 of the Civil Service Law.

OR

In accordance with Section 52.7 of the Civil Service Law, this notice advises all employees of the Office of Mental Health of our intention to conduct a non-competitive promotion examination for the position of Administrative Assistant 1 at St. Lawrence Psychiatric Center. Permanent appointment may be made by non-competitive promotion of an applicant who meets the position’s minimum qualifications if all requirements of non-competitive promotion are met.

Administrative Assistant Trainee 1 - Minimum Qualifications

Duties Description As an Administrative Assistant 1, you would ensure the efficient operation of an office by performing a wide range of administrative tasks related to correspondence, files, and calendar management; work coordination; customer service; fielding of questions; information gathering; and compilation of reports. Specific duties may include, but are not limited to, the following:

• Prepare correspondence, reports and other documents utilizing software such as Microsoft Office.

• Set up and manage paper and electronic filing systems.

• Create, maintain, and enter information into databases.

• Maintain scheduling and event calendar. Schedule and confirm appointments for clients, customers, or supervisors.

• Complete forms in accordance with agency procedures.

• Review work done by others to check for correct spelling and proper grammar, ensures that office format policies are followed, and recommends revisions.

• Make copies of various documents, place them in proper files, and distribute them to appropriate staff.

• Open, review, sort and distribute the mail in accordance with staff assignments. Review incoming correspondence and establish follow-up deadlines.

• Respond to incoming calls, respond to questions concerning policies or procedures, and refer calls to appropriate staff member for technical information.

• Maintain inventory of office supplies and arrange for office equipment maintenance and service.

• Perform other clerical and secretarial duties as necessary.
