Minimum Qualifications MINIMUM QUALIFICATIONS:

Candidates must be reachable for appointment on the current Civil Service Eligible List for this title.
OR
Candidates must have one year of permanent service in the posted title (formally Secretary 1) and be eligible for lateral transfer.

OR

Be eligible to transfer via Section 70.1 of Civil Service Law.

OR

Candidates must have one year of permanent competitive or 55b/c service in a title SG-9 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND must have completed all required mandatory and elective coursework.**

Administrative Assistant Trainee 1:
Transfer: Candidates must have one year of permanent competitive or 55 b/c service in a title SG-6 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law.**

Administrative Assistant Trainee 2:
Transfer: Candidates must have one year of permanent competitive or 55b/c service in a title SG-8 or above deemed eligible for transfer under Section 70.1 of the Civil Service Law AND completion of all required mandatory coursework.**

• Possess the minimum qualifications for this title as established by the Department of Civil Service and listed on the most recent exam announcement.

Duties Description PRIMARY DUTIES AND RESPONSIBILITIES:
• Handle incoming calls and visitors and route as appropriate.
• Order and maintain office supplies.
• Create and maintain organization charts utilizing electronic software.
• Maintain the Treatment Team Leader's Calendar, including employee time off, clinical meetings, Life Plan meetings, etc.
• Reserve office conference rooms as needed.
• Screen the Treatment Team Leader's calls and take messages as necessary.
• Assist in the processing and closing of Reportable Incidents.
• Assist in the processing of Purchase Requests, Key Requests, vouchers, etc.
• Scan IRA related documents to the appropriate drive on the computer.
• Open and distribute office mail.
• Maintain a relationship with Hedley building administration and distribute building related updates and information to office workers.
• Other duties as assigned.

• Ability to work independently and exercise confidentiality and good judgment.
• The ability to use a variety of automated software programs.
• Excellent oral and written skills.
• Positive attitude and the ability to work well with others in a busy environment with fluctuating demands.
