Minimum Qualifications Minimum Qualifications:

The successful candidate must be reachable on the full-time, permanent Civil Service list for Administrative Assistant 1, or must have held the permanent title of Administrative Assistant 1 in the past or be eligible to transfer into the title.

OR

Appointment may be made at the Administrative Assistant 1 Traineeship level, (grade 8 or grade 10) leading up to Administrative Assistant 1, grade 11 title. Successful candidates interested in the Traineeship must have 1 year of service in a clerical title allocated to grade 6 or higher (e.g., Office Assistant 1). Successful completion of the traineeship requires taking eight courses in the following competencies: Professionalism and Self-Management, Verbal and Written Communication, Interpersonal and Customer Relations, and Computer Skills and Technology.

• Technical Proficiency: Comfortable using various software applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Power BI), database management systems, and assessment-related software (currently Taskstream).
• Organizational Skills: Ability to manage multiple tasks, prioritize workloads, and maintain an organized workspace and filing system.
• Attention to Detail: Strong eye for detail to ensure accurate data entry, report generation, and document preparation.
• Time Management: Ability to meet deadlines, manage calendars, schedule appointments, and coordinate meetings and events.
• Documentation: Proficiency in maintaining accurate records, documenting procedures, and archiving assessment-related materials

Duties Description •Transmits instructions and directions from supervisors to appropriate staff. Maintains office files and the Health Center Office.
•Serve as the central point of contact for the health Center.
•Facilitate student access to services by answering phones, scheduling appointments, arranging, and coordinating staff schedules and meetings, and greeting students arriving for appointments.
•Maintain office filing systems, including non-confidential and confidential records.
•Utilize technology and web-based platforms for daily operations, including word processing, data input and maintenance, and electronic mail.
•Maintain Health Center related communications in the office and with other campus offices.
•Review and respond to correspondence from students, families, and other stakeholders.
•Process and reconcile purchase requisitions, travel vouchers, invoices, and work orders.
•Assist the Health Center Director, Associate Vice President, and Vice President of Student Affairs with monitoring of student immunization records and health history records, ensuring compliance with NYS law and campus policies.
•Assist with tracking expenses and budgetary matters. Prepare reports as needed.
