Minimum Qualifications High school diploma or high school equivalency diploma; and three years of experience in administrative support**, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
** Certification (e.g., IAAP Certified Administrative Professional), diploma, or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience
Candidates may be required to pass a keyboarding test that demonstrates your ability to enter text using an alpha numeric computer keyboard, at a rate of at least 30 words per minute with at least 96% accuracy, if this has not been satisfied in a prior New York State position.

Duties Description The Administrative Assistant 2 will support a large Division and high-level Associate Commissioner, and Senior Management staff, by carrying out the following responsibilities:
• Will serve as the sole support staff for the Associate Commissioner for the Division of Quality Assurance & Performance Improvement (QA&PI) and Regional Offices
• Will handle highly sensitive and confidential information for a very high-level executive including support of legislative and regulatory requirements related to:
o Monitoring and enforcement of regulatory violations, ethical complaints against addiction professionals and SUD patient complaints
o Certification of addiction services providers
o Investigation of allegations of patient care and patient rights violations
o Investigation of addiction professionals delegated by the New York State Justice Center for the Protection of People with Special Needs.
o Oversight of programs needing intensive monitoring due to lack of performance and/or extensive regulatory or financial violations.
o Policy and Legislative Proposals
• Will support the Associate Commissioner in oversight of the Statewide Regional Office operations including:
o Providing provider/program contracting, oversight, and support to Providers in a specific region
o Addressing emergency situations when they occur in each region
o Working closely with all levels of the community including the:
- Local Government Units
- Other county, town, and local government entities
- Other health and human services agencies and the OASAS statewide Regional Offices
- Representing OASAS at county, state and federal meetings or initiatives occurring in their Region.
• Will support the Associate Commissioner, Senior Management, and the Division with administrative tasks such as:
o Answering phones
o Opening mail, developing, and disseminating routine responses
o Editing reports, proposals, and other documents
o Scheduling meetings including and statewide Advisory Councils and Committees and employee interviews
o Online reporting related to, SFS procurement and travel reconciliations, staff attendance, Division inventory and staff performance evaluations
o Provide coverage for other Division administrative staff when needed
