Minimum Qualifications This title is part of the New York State Hiring for Emergency Limited Placement Statewide Program (NY HELPS*).
To be considered for appointment through NY HEPS, or 55b/c, candidates must meet the open competitive minimum qualifications for this position.
The qualifications are: One year of clerical experience.
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights an privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
Duties Description DUTIES AND RESPONSIBILITIES:
Under the direction of the Business Office, the incumbent would support the Regional Business Office in the purchasing department. Duties include but not limited to:
• Process payments with a credit card and direct pay invoice and follow up with vouchers.
• Assist with direct pay forms and requisitions as needed.
• Set up and maintain spreadsheets for multiple vendors.
• Order supplies as needed.
• Gather quotes and information from vendors for purchase orders and follow up as needed.
• Maintain, organize, and archive files.
• Assist with energy usage.
• Assist in other areas of the Business Office as needed.
OPERATING NEEDS:
• Candidate must be able to follow directions, including in writing, record and document required information.
• Must be able to communicate effectively with Park and Albany staff.
• Must have good organizational skills, accuracy and the ability to multi-task.
• Must have basic computer knowledge in MS Office applications including Microsoft Word, Excel, and Teams.
• Experience with Budget Expenditure Tracking System and/or Statewide Financial System a plus. Must have the ability to work effectively independently, in a team dynamic, and across multiple departments.
