Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, if they meet the below NY HELPS minimum qualifications.

NY HELPS Non-Competitive Minimum Qualifications:
Administrative Assistant Trainee 1: High school or high school equivalency diploma.

Administrative Assistant Trainee 2: High school or high school equivalency diploma; and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

Administrative Assistant 1: High school or high school equivalency diploma; and two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

Reassignment and Transfer Opportunities: Current New York State Department of Health employee with permanent or contingent permanent status as an Administrative Assistant 1, Grade 11, OR current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service as an Administrative Assistant 1.

Preferred Qualifications: Experience using the full suite of Microsoft Office, especially PowerPoint, Word, and Excel. Experience and ability to compile and analyze data, as well as record accurate and organized meeting minutes. Working knowledge of State and agency processes and procedures to order and manage office supplies, manage executive correspondence, and manage mail.

Duties Description The Administrative Assistant 1 will provide administrative support for Health Facilities Management (HFM). Responsibilities may include coordinating and arranging meetings; transmitting instructions to staff and following up; handling telephone calls and visitors and responding to questions; typing, proofreading, reviewing and correcting correspondence, documents, records and other written material; preparing routine reports; designing, setting up and maintaining files (including electronic) of correspondence/documents, records and materials pursuant to
guidelines; handling and routing confidential documents in
accordance with the appropriate policies and procedures;
monitoring various calendars and email inboxes; data entry into
various tracking databases; providing additional organizational
and administrative support for HFM senior management; and
other administrative tasks necessary to support the work of
HFM.
