Minimum Qualifications The selected candidate must be eligible for transfer under Civil Service Law or reachable on the appropriate eligible list for this title and location in accordance with the provisions of the Civil Service Law, Rules, and Regulations.
Please note: A keyboarding performance test may be required prior before appointment.

Provisional Appointment: In the event that an eligible list for this title does not exist, or has less than three acceptors, a current NYS employee with one year of permanent service in a following title, may be appointed on a provisional basis: Administrative Assistant 1 (Various Language Parenthetics).
Duties Description Act as liaison to Staffing Management (HR functions), Training Bureau, Building Management
Screen phone calls for the District Office Manager. Independently answer questions based on knowledge of office operations or direct calls to the proper party with minimum inconvenience to the caller.
Establish filing systems, work flows, protocol, and procedures for the entire Office. This will include electronic data, as well as hard copy data.
Maintain a tracking system for all section correspondence and/or projects that require follow-up.
Manipulate and analyze information contained in the Department’s electronic Management Information System.
Prepare correspondence for the Manager’s signature. Generate management reports. Prepare coherent and comprehensive correspondence, narratives, charts, and reports, using correct grammar, punctuation and spelling. Ability to use word processing, database and spreadsheet systems. Possess knowledge of Department specific terminology.
Schedule meetings, secure locations, make travel and lodging reservations, and maintain a calendar for Management.
Supervise staff and train new clerical employees in the Office as needed.
Perform other duties as required.
Ability to meet Department's time and attendance rules.
