Minimum Qualifications NY HELPS Non-Competitive Minimum Qualifications:
Administrative Assistant Trainee 1: High school or high school equivalency diploma.
Administrative Assistant Trainee 2: High school or high school equivalency diploma; and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
Administrative Assistant 1: High school or high school equivalency diploma; and two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.
Reassignment & Transfer Opportunities: Current New York State Department of Health employee with permanent or contingent permanent status as an Administrative Assistant 1, Grade 11, OR current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service as an Administrative Assistant 1.
OR: Current New York State employee with one or more years of permanent, contingent-permanent, or 55b/c service in a position allocated to Grade 6 or above, and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.

Preferred Qualifications: The preferred candidate will have excellent communication, analytical, and organizational skills. They will be proficient with Microsoft Word, PowerPoint, Excel spreadsheets, Outlook, and SharePoint and will have the ability to work independently in a fast paced environment and prioritize multiple assignments.
Duties Description The Administrative Assistant (AA) 1 will manage clerical services for the Bureau Direction Executive Team in the Bureau of Supplemental Food Programs. They will provide complex administrative support to Bureau Direction and Section staff and will supervise an Office Assistant 1. The AA 1 will serve as a liaison with Bureau and Division administrative professionals to provide adequate coverage and ensure consistent, high-quality support for program activities.
The incumbent of this position will be responsible for assembling and formatting correspondence; researching background information; establishing administrative procedures; developing, implementing, and maintaining electronic filing systems; producing correspondence, reports, presentations and other Section documents, taking and distributing meeting minutes; developing and maintaining tracking systems for various work streams; FOIL requests and calls from participants, health care providers and WIC local agency staff. The incumbent may be asked to assist with personnel management tasks including maintaining organizational charts and distribution lists. Other routine duties include monitoring email and calendars, scheduling meetings, preparing meeting materials, coordinating travel, scanning confidential documents, and providing support for the main telephone line.
Additional Comments Full-time, contingent permanent appointment. Appointment may be made at a trainee level. A two-year traineeship leading to Administrative Assistant 1, Grade 11, is in effect.

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
