Minimum Qualifications Permanent Transfer: Current NYS DOH employee with permanent or contingent-permanent, competitive service as an Office Assistant 3, G-14 OR a NYS employee with one year or more of permanent or contingent- permanent, competitive service in a position allocated to a salary Grade 12 or above and eligible for transfer under Section 70.1 of the Civil Service Law.

Preferred Qualifications: Excellent organizational, written, interpersonal, and communication (both written and oral) skills; Experience in handling confidential information; Strong attention to detail; Previous experience in scheduling and facilitating meetings including managing multiple staff calendars and preparing/disseminating meeting minutes; Ability to manage and prioritize multiple tasks and maintain accurate records and filing systems, including the creation of efficient and effective electronic filing systems; Experience using various computer software, such as, Microsoft Office products (Outlook, Word, Teams, Excel and Power Point), WebEx, Zoom and Adobe Pro.

Duties Description Within the Division of Health Care Plan Contracting & Oversight, Bureau of Managed Care Certification and Surveillance (BMCCS), the incumbent will provide day-to-day professional administrative support to BMCCS. The incumbent is responsible for: maintaining calendars and scheduling meetings using conference rooms as well as technologies such as Microsoft Outlook, WebEx, Zoom and Microsoft Teams; preparing letters/emails, reviewing and evaluating documents for accuracy, clarity, spelling and grammar, etc., routing for appropriate approvals and tracking progress; creating and maintaining electronic filing systems, ensuring adherence to all applicable policies and procedures; completing Travel requests and expense reports, as needed; timely distribution and flow of mail, maintaining mail logs; ensuring electronic and paper documents, including meeting minutes, reports, records, letters and memos, are filed properly and can be retrieved when needed; and providing phone and administrative backup, arranging backup coverage when needed. Other activities as may be deemed necessary in response to the changing needs of the Bureau.
