Minimum Qualifications Permanent Transfer: Current NYS employee with one year or more of permanent or contingent-permanent, competitive service as an Office Assistant 2 Stores/Mail G-9, OR a NYS employee with one year or more of permanent or contingent- permanent, competitive service in a position allocated to a salary Grade 7 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
*Open Competitive under NY HELPS Program: One year of clerical experience.
Preferred Qualifications: The preferred candidate must be able to handle multiple priorities in a fast paced office environment, have strong organizational skills and attention to detail, as well as excellent written/verbal communication skills, and experience with State and HRI procurement and travel guidelines. The preferred candidate will also have a high level of competence using the following computer programs: Microsoft Office Suite including Word, Excel, Power Point and Access; Visio; Adobe Pro, and SharePoint.
Duties Description The Office Assistant 2 will provide administrative support to the Wadsworth Center's New Scotland Avenue (NSA) Administrative Office. NSA provides support to three divisions with over 300 staff, volunteers and students at three locations. Specific duties include, but are not limited to: processing incoming and outgoing employee paperwork, updating Wadsworth Center directory and organizational charts; answer and refer telephone calls, including calls from the public and facilities related to the Division of Infectious Diseases testing laboratories; assist with scheduling meetings, both virtual and in person, using technology such as WebEx, and Microsoft Teams as needed; maintain electronic filing and storage, operate office equipment such as printers, scanners, and copiers, arranging for repairs as needed; update tracking systems and distribute incoming mail; assist lab staff with required travel paperwork to seek appropriate approvals, process reimbursements and answer travel questions; prepare correspondence, documents and spreadsheets using various software programs; maintain supplies and equipment inventory, ordering as needed; special projects and other duties as assigned.
Additional Comments Position is located at the David Axelrod Institute and includes free parking.

*This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
