Administrative Assistant Trainee 1: High school or high school equivalency diploma.

Administrative Assistant Trainee 2: High school or high school equivalency diploma; and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

Administrative Assistant 1: High school or high school equivalency diploma; and two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.

Reassignment & Transfer Opportunities: Current New York State Department of Health employee with permanent or contingent permanent status as an Administrative Assistant 1, Grade 11, OR current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service as an Administrative Assistant 1.

OR: Current New York State employee with one or more years of permanent, contingent-permanent, or 55b/c service in a position allocated to Grade 6 or above, and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.

Preferred Qualifications: The preferred candidate will be proficient in Microsoft Word and Excel, and WebEx. They will possess excellent phone skills and organizational skills and will have experience scheduling and organizing meetings.

Duties Description The Administrative Assistant (AA) 1 will operate the main phone lines for the Bureau Environmental Radiation Protection. This will include appropriately forwarding calls, taking messages, forwarding messages to appropriate staff, and covering other sections of telephone operations as needed. Other duties include sorting, opening, and distributing daily mail, tracking FOIL requests and vehicle logs for the Bureau, and covering administrative tasks for other sections in the Bureau as they arise.

Additional Comments Full-time, permanent appointment. Appointment may be made at a trainee level. A two-year traineeship leading to Administrative Assistant 1, Grade 11, is in effect.
