Minimum Qualifications Permanent Transfer: Current NYS employee with one year or more of permanent or contingent-permanent, competitive service as an Office Assistant 2 Stores/Mail G-9, OR a NYS employee with one year or more of permanent or contingent- permanent, competitive service in a position allocated to a salary Grade 7 or above and eligible for transfer under Section 70.1 of the Civil Service Law.

*Open Competitive under NY HELPS Program: One year of clerical experience.

Preferred Qualifications: The preferred candidate will have experience working with Microsoft Office including Outlook, Word, Excel, Webex. They will also have strong written and verbal communication skills, excellent organizational skills, with a strong focus on attention to detail. They will be able to work in a team environment as well as independently on tasks where needed and demonstrate strong critical thinking skills when encountering issues and problems.

Duties Description The Office Assistant 2 will provide office support and perform clerical duties including, but not limited to: accepting calls, retrieving messages and routing calls/messages appropriately; maintaining the supply inventory; coordinating schedules and scheduling meetings; typing, proofreading and generating reports, letters, documents, and other communication on behalf of the Division; filing and recordkeeping consistent with the Department’s established protocols; establish new files by coding and numbering forms, creating folders, and compiling relevant materialaccepting, tracking, and routing all incoming and outgoing postal mail consistent with established Division policies and procedures; data entry; provide back-up support to colleagues during vacation or other leave; and other duties as assigned.
