Minimum Qualifications • Candidates must be reachable on the current Civil Service List for Office Assistant 2 or currently permanent in a title eligible for 70.1 transfer per Civil Service Rules & Regulations
• Provisional Opportunities: In the event there is not a valid eligible Civil Service list; candidates who meet the qualifications below may be qualified for a provisional appointment: You must be a qualified employee of New York State and have had three months of permanent competitive or 55-b/55-c service as an office assistant, clerical, or keyboarding title allocated to Grade 6 or higher.
• Note: If you are appointed provisionally, you must take the next scheduled Civil Service examination for this title and your score must be reachable on the resulting eligible list before you can be permanently appointed. If you do not pass the examination or achieve a reachable score, you may not be retained.
Duties Description PRIMARY DUTIES AND RESPONSIBILITIES: The Office Assistant 2 will provide general office support to the Human Resource Management Office.
Duties include but are not limited to:
• Filing
• Provide reception desk coverage as needed. Greet employees and visitors. Respond to general inquiries via telephone, email or in-person
• Assist HR Specialist 1’s and 2 by typing correspondence, job postings, maintaining and updating required reports.
• Schedule fingerprinting appointments and EHS appointments for new employees
• Assist with processing and on-boarding of new employees
• Assist Benefits Administrator with daily functions within the Benefits Unit
• Assist with various functions within the Time and Attendance unit
• Track and ensure employees’ professional credentials are current
• Maintain, update and track probationary and annual evaluations for all employees
• Assist HR Specialist 1’s and 2 with scheduling interviews, maintaining recruitment files, bi-weekly spreadsheets
• Must have knowledge in Microsoft Excel & Word
• Other related duties as assigned by supervisor
