Administrative Assistant Trainee 1:
One year of permanent competitive or 55-b/55-c service as anOffice Assistant 2 (Keyboarding).
Administrative Assistant Trainee 2:
One year of permanent competitive or 55-b/55-c service as anOffice Assistant 2 (Keyboarding) AND documentation of agency-approved completion of the four core administrative supportcourses or their equivalency: Microsoft Word Basics, CustomerService, the Organized Office Worker, and Successful BusinessWriting.
Administrative Assistant 1
One year of permanent competitive or 55-b/55-c service as anOffice Assistant 2 (Keyboarding) AND documentation of agency-approved completion of the four core administrative supportcourses or their equivalency: Microsoft Word Basics, CustomerService, the Organized Office Worker, and Successful BusinessWriting AND successful completion of four elective administrativesupport courses.
To be advanced to the full performance level of this title youmust successfully complete a set training and developmentprogram. Upon satisfactory completion of the 12-month trainingat the Trainee 1, you will automatically advance to the Trainee 2.Upon satisfactory completion of the 12-month training as aTrainee 2
you will advance to the full level of this title without furtherexamination. Failure to complete the required Traineeship-Coursework Requirements prior to completion of the traineeshipwill result in a termination from the position.
Open Competitive:
Administrative Assistant Trainee 1:
Six months of experience in administrative support, whichincludes use of office software (e.g., email, word processing),provision of customer service, business writing, and/or officeadministration. The selected candidate must pass a keyboardingtest that demonstrates the ability to enter text at a rate of atleast 30 words per minute with at least 96% accuracy bycompletion of probation.
Administrative Assistant Trainee 2:
One year of experience in administrative support, which includesuse of office software (e.g., email, word processing), provisionof customer service, business writing, and/or officeadministration. The selected candidate must pass a keyboardingtest that demonstrates the ability to enter text at a rate of atleast 30 words per minute with at least 96% accuracy bycompletion of probation.
Administrative Assistant 1:
Two years of experience in administrative support, which
includes use of office software (e.g., email, word processing),provision of customer service, business writing, and/or officeadministration. The selected candidate must pass a keyboardingtest that demonstrates the ability to enter text at a rate of atleast 30 words per minute with at least 96% accuracy bycompletion of probation.
Substitution: Certification (e.g., IAAP Certified AdministrativeProfessional) or associate’s degree in office administration,secretarial science, administrative assistance, paralegal, businesstechnology, or office technology substitutes for two years ofexperience.
To be advanced to the full performance level of this title youmust successfully complete a set training and developmentprogram. Upon satisfactory completion of the 12-month trainingat the Trainee 1, you will automatically advance to the Trainee 2.Upon satisfactory completion of the 12-month training as aTrainee 2 you will advance to the full level of this title withoutfurther examination. Failure to complete the requiredTraineeship-Coursework Requirements prior to completion of thetraineeship will result in a termination from the position.
Candidates may also be qualified for permanent competitive appointment if reachable from the appropriate Civil Service eligible list or eligible for reassignment or transfer in accordance with Civil Service Law.
Preferred Qualifications: The preferred candidate will have experience working with Executive staff, excellent verbal and written communications, proven ability to collaborate well with internal and external stakeholders, and be proficient in MicrosoftOffice Suite products.
Preferred Qualifications: The preferred candidate must be able to work with a diverse group of professionals; have strong organizational and communication skills (written and verbal), strong attention to detail, and a desire to contribute to a team-oriented workplace. The preferred candidate must be able to manage and organize multiple tasks in a fast-paced office setting; knowledge of office administration; proper grammar, punctuation, spelling, and business communications and have proficient computer skills; including experience using Microsoft Office products.
Duties Description The Administrative Assistant 1 will provide administrative support for the Division of Eligibility and Marketplace Integration, Bureau of Community Enrollment and Eligibility Processing. Responsibilities may include coordinating and arranging meetings; transmitting instructions to staff and following up; handling telephone calls and visitors and responding to questions; typing, proofreading, reviewing and correcting correspondence, documents, records and other written material; preparing routine reports; designing, setting up and maintaining files (including electronic) of correspondence/documents, records and materials pursuant to guidelines; handling and routing confidential documents in accordance with Bureau policies and procedures; monitoring Bureau calendar and email inboxes; data entry into Bureau tracking databases; providing additional organizational and administrative support for Bureau senior management; and other administrative tasks necessary to support the work of the Bureau.
