Minimum Qualifications Current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade13 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
Duties Description The Administrative Assistant's primary function will be to provide direct administrative support to the Chief Procurement Officer (CPO) and Deputy Chief Procurement Officer (DCPO). Performance requires an understanding of program areas as well as an awareness or willingness to learn the policies and processes.
Duties may include but are not limited to the following:
• Manage calendars of the CPO and DCPO and ensure that schedules are kept.
• Vet meeting requests and coordinate with other administrative staff as appropriate.
• Prepare meeting packets in advance of meetings.
• Answer phones, make calls, and greet visitors of CPO and DCPO professionally.
• Process Business Unit's Commissioner Correspondence.
• Assist with coordination of travel for Business Unit Staff.
• Assist in the purchase of goods and services for the Business Unit in the Statewide Financial System.
• Assist in the compilation of data to be used in the preparation and analysis of agency budget submissions.
• Assist with compilation of legislative proposals, reports, and other materials.
• Perform other duties as assigned.
